Resident Check-out Instructions

With Spring quarter quickly coming to a close, an important part of saying good-bye is ensuring that your room or apartment check-out goes as smoothly as possible.  Read the following information carefully. If you have any questions or concerns, contact your Advisor or Coordinator of Student Development.

All Residence halls close for the spring quarter at noon on Sunday, June 15th.  Cerro Vista Apartments close at noon on Tuesday, June 17th.

24 Hour quiet hours begin on Sunday, June 8th at 10 P.M. and ends on Saturday, June 14th at 8 A.M.

CHECKOUT PROCESS

Residents are provided with two options for their checkout:

  1. Standard Checkout – Resident will make an appointment and checkout with their Advisor prior to leaving for the summer.  The last resident in a room or apartment must complete their checkout via this process. 
  1. Express Checkout - This form may only be used by the first roommate(s) to checkout of the room or apartments.  Advisors will complete the RCI/ACI for these residents when they are checking out the last resident in the room. 

HOW DO YOU CHECK OUT?

Read through the two options available and decide which would be most convenient for you.    Depending on which of the following check-out options you choose, you may not have to sign up for a check-out appointment, but every room will be checked for your protection.  You will need to prepare in advance and make arrangements with your roommate(s) and your Advisor.  Cleaning your room and removing all of your belongings is a priority, as well as following all administrative procedures.  Failure to checkout on time or follow prescribed checkout regulations will result in an improper checkout charge of $25 in addition to charges associated with room cleanliness and lost keys and laundry cards.

 

OPTION ONE — STANDARD CHECK-OUT

Make a checkout appointment with your Advisor.  See your Advisor or front desk for more informationBe sure to schedule your check-out by Sunday, June 8, as your Advisor will be juggling finals just as you are.   Also be advised that, if you are not ready to check out at your scheduled time, you will need to reschedule with your Advisor at their convenience. 

After your Advisor has completed your Room or Apartment Condition Inventory and you have signed it, proceed to the front desk where you will do the following:

  • Turn in your room key.
  • Return your Apartment/Laundry Card.
  • Return any checked out equipment.
  • Pay any owed damage bill charges (Residence Halls Only).

 

OPTION TWO — EXPRESS CHECK-OUT FORM

All roommates except for the last person to check out may check out using the Express Checkout Form. This form is designed to allow the roommate(s) leaving first to check out without going through the formal check-out process with an Advisor. This process does not release residents from the obligation to leave a clean room or from the responsibility for damages.  Both sides of the room or the entire apartment will be checked by an Advisor when the final roommate checks out.

If you are the first roommate(s) checking out and wish to go through this process and use the Express Checkout Form, first discuss with your roommate(s) what cleaning and/or repairs are needed to bring the room to accepted standards.  If there are damages, determine who is responsible.  If the responsible roommate is the first roommate(s) to vacate the room and utilize the Express Checkout Form check-out process, those damages should be noted on the Express Checkout Form.   If no one takes responsibility for damage in a common area of the room or apartment, the charges will be split equally among all roommates. 

When you are ready to check out, take the Express Checkout Form, proceed to your front desk, and complete each of the steps detailed below:

  • Turn in your room key.
  • Return your Apartment/Laundry Card.
  • Return any checked out equipment.
  • Pay any owed damage bill charges (Residence Halls Only)

 

RESIDENCE HALLS STUDENT CHECKOUT INFORMATION

All students must check-out of their rooms within 24 hours after their last final exam.  If you need to stay in the residence halls after 6pm on Friday, June 13, you must fill out the Extended Check-out Request Form and return it to your front desk by Sunday, June 8.  Extended check-out time ends at 12 noon on Sunday, June 15.  Your Coordinator of Student Development will determine if your request is approved.  (There is an “improper check-out” charge for all residents who fail to vacate the halls by the required time).  

HOW TO PREPARE YOUR ROOM FOR CHECK-OUT

The best check list available to ensure that your room is clean and ready for check-out is the “Room Cleaning Checklist".

Additionally, if you rented a mini-refrigerator from Campus Dining, please follow the instructions to properly return your refrigerator.  These instructions have been mailed to you by Campus Dining.

For N. Mountain Micro-fridges, please defrost and clean out your micro-fridges.  Leave them turned on and plugged in. 

LOADING YOUR CAR – RESIDENCE HALLS

While actively loading your vehicle to leave, temporary, and 30-minute parking is permitted between 9 a.m. and 6 p.m. Monday, June 9TH through Saturday, June 14TH and from 9 a.m. to 12 noon on Sunday, June 15TH in the following locations:

  1. On Perimeter Road.  Park only on the side of the road next to the residence halls.
  2. On Klamath Road (located between the residence halls and the R-1 parking lot).  This road will be one way heading south to allow for loading of vehicles. 
  3. Park only on the west side of Grand Avenue between Deer Road to N. Perimeter. 

Any vehicle parked in these temporary areas after 6 p.m., or longer than 30 minutes, will be cited and towed away at owner's expenseParking is never permitted:

  1. In driveways/fire lanes behind residence halls.  (This includes State Vehicle and CSD spaces.)
  2. Behind Vista Grande Restaurant, near or past the service access gate for Sierra Madre and Yosemite Halls.

All other standard parking regulations will be enforced.   Because there is a great amount of trash generated by the halls during Finals Week, the access roads behind all buildings MUST be clear to allow for trash collection.  Therefore, all vehicles parked behind the halls will be towed.  No vehicles are permitted on any lawn areas or walkways at any time.  Hand trucks will be available for check-out at the front desk. 

CERRO VISTA STUDENT CHECKOUT
INFORMATION

HOW TO PREPARE YOUR APARTMENT FOR CHECKOUT

Your Community Advisor will provide you with a “Cleaning Checklist” and an “Apartment Inspection Checklist” to each apartment. Furniture should be in the appropriate rooms.  Each bedroom should contain a bed frame, a mattress with mattress cover, two sets of drawers, one desk, one desk chair, one filing cabinet, one closet, and one surge protector.  The living room should contain a loveseat, 2 lounge chairs, 2 lamps, 2 end tables, and one coffee table.  The dining area should contain 1 dining table and four chairs.  All cleaning supplies, vacuums, brooms, mops, plungers, recycling bins, garbage bins, shower curtains, and fire extinguishers issued by University Housing must be present at the time of checkout.

LOADING YOUR CAR – CERRO VISTA

Starting Monday June 9, all parking spaces in Cerro Vista are only designated for the active loading and unloading of vehicles.  Some spaces will be diagonal in order to accommodate more cars.  You can also utilize the bike lane located between Cerro Vista and the R-1 parking lot for loading and unloading your car.  Once you have loaded your car it should be moved to the R-1 parking lot.  When you are done loading, be considerate and move your vehicle.  Double parking is not permitted.  All other standard parking regulations will be enforced around the loop. 

GENERAL INFORMATION

You are responsible for your conduct throughout your stay in University Housing.  Incident Reports issued at the end of the quarter are reviewed immediately by University Housing staff and/or by the Campus Judicial Officer.  Poor conduct may influence a residents’ ability to live on campus and/or their university judicial status the following year.  Do your part to end your year in a positive and constructive manner and encourage others to do the same.

GARAGE SALE FOR CHARITY

University Housing will sponsor a garage sale on June 7th from 10am to noon in the parking lot across from North Mountain Residence Halls with unwanted student items.  University Housing will also sponsor a food and clothing drive during Finals Week.  All monies and items from the food and clothing drive and Garage Sale will go to local non-for profit organizations.   Drop off unwanted items at the designated location in your building.  Items for the Garage Sale should be dropped off by June 6th and items for the food and clothing drive will be collected until Sunday, June 15th.  See your Advisor or Front Desk for more details.

MAIL

You are responsible for changing your mailing address with bill collectors, magazines, family, friends, etc.  Plan ahead in making address changes. Change of address cards have been provided in your mailbox.  Be aware that magazine subscriptions can take up to 8 weeks to be sent to your new address.  Be aware that your zip code will change when you move off campus.   Please visit the United State Postal Service at www.usps.com to find your new zip code.

24 HOUR QUIET HOURS

24 Hour quiet hours begin on Sunday, June 8th at 10 P.M. and ends on Saturday, June 14th at 8 A.M.  Please respect your fellow residents by adhering to these hours.  Any student found in violation will face possible judicial sanctions which may result in immediate removal from the on campus housing after your last exam or the revocation of your extended check-out privileges. 

FINAL REMINDERS

  • Plan now to clean your room and apartment and throw away unwanted items.
  • Return all Campus Dining trays and utensils to a dining facility or to the bin provided at the front desk.
  • Change the addresses of your magazine subscriptions, bill collectors, family and friends now!
  • Please note that any money remaining on your laundry card will not be refunded to you, so do not put a large amount of money on your card at the end of the year.
  • If you have any questions about the check-out process, don’t hesitate to ask your Advisor or Coordinator of Student Development.
  • Please remember to TAKE YOUR BICYCLE with you!  Locks will be cut and bicycles removed by University Police if they are left after Tuesday, June 17.

 

WHAT IF YOU’LL BE LIVING ON CAMPUS THIS SUMMER?

If you will be living on campus for the summer you must checkout and move out of the residence halls by June 15th or the apartments by June 17th.  Your belongings can be stored with University Housing during the break period.  Cerro Vista residents who will be living on campus for the summer should pack and store their belongings on their bed in their current room.  On June 21st you will be given access to your old room to collect and move items into your summer assignment.  Below are instructions for students who will be moving from the residence halls to Cerro Vista on how to have your items stored.

APPOINTMENTS MUST BE MADE TO STORE BELONGINGS OVER THE QUARTER BREAK.

  • Make an appointment to store your belongings during the week of June 2, through Friday, June 6, between 8am to 3:30pm, by calling Housing and Business Services at extension 6-1587.
  • All items to be stored must be boxed, bagged, or packaged and clearly labeled with resident’s name, home address, and phone number.

STORAGE OF BELONGINGS (FOR SUMMER RESIDENTS ONLY) WILL OCCUR DURING FINALS WEEK (Monday June 9- Friday June 13, between 8:30am and 3:30pm):

  • At your appointment time to store your belongings, meet Housing and Business Services staff at the designated storage area.
  • Staff members will not move items for you.  Residents are responsible for moving items from their current rooms to the storage area.  You will have 15 minutes to complete the move.
  • Be on time for your appointment or you will have to reschedule and be placed at the bottom of the priority list.
  • BELONGINGS MAY BE PLACED IN STORAGE DURING FINALS WEEK ONLY.
  • Bicycles and computers cannot be stored during this time.  Contact UPD to secure a bike locker.

On Saturday, June 21, between 12 noon and 6pm, go to the Cerro Vista Front Desk and a Housing staff member will assist you in retrieving your belongings.
